This policy explains what personal data Anance handles, why, how we protect it, and the rights you have. We keep it in plain English on purpose.

When you visit this website
This site sets no tracking or advertising cookies and runs no third-party analytics. Our hosting provider may record standard technical logs (such as IP address and browser type) for security and reliability, as almost all web hosts do.
When you contact us or apply for a pilot
If you email us or submit the pilot application, we collect what you provide: your name, business name, email address, phone number (if given), the systems you use, and what you want to achieve. We use this to respond and to set up your pilot.
When you become a client
To run your automation we process operational data from the systems you connect, for example a new quote or enquiry and the contact details of the customer it relates to. We hold your configuration and a record of the messages the system sent on your behalf. We do not collect passwords to your accounts, and we do not process card or bank details. - To respond to your enquiry and run a pilot, on the basis of our legitimate interest in answering people who contact us and steps taken at your request before any contract.
- To deliver the service you sign up for, on the basis of performing our contract with you.
- To prevent errors such as sending the same customer a message twice, on the basis of our legitimate interest in running the service reliably.
- To send you updates you asked for, on the basis of your consent, which you can withdraw at any time.
- To meet our legal and accounting obligations.
Where we act on behalf of a client to message their customers, the client is responsible for having a lawful basis to contact those individuals, and we act as their processor for that activity.
We do not sell your data. To run the service we rely on a small number of established providers acting on our instructions: a workflow automation platform, a large language model provider (Anthropic, makers of Claude) that generates the message text, an email delivery provider, and a managed database hosted in the United Kingdom. We will tell you the specific providers involved in your setup before you go live.
Your configuration and message records are held in a managed database hosted in the United Kingdom, protected so that only our server-side automation can access it. Some providers we use may process limited data outside the UK; where that happens we rely on appropriate safeguards recognised under UK data protection law.
We keep personal data only for as long as we need it: for enquiries that do not become clients, no longer than reasonably necessary to follow up; for clients, for the life of the relationship and a reasonable period afterwards for legal and accounting purposes. We will delete data sooner on request where we are not required to keep it.
Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable form. To exercise any of these, email solutions@ananceintel.com and we will respond within the timeframe the law requires.
If you are unhappy with how we have handled your data, you can complain to the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk. We would appreciate the chance to put things right first.
We may update this policy as our service and our processes develop. When we do, we will change the date at the top of this page. Material changes affecting existing clients will be communicated directly.
